How to add a custom message to the Confirmation email when creating a reservation in Mews Operations

Mews sends emails to guests on your behalf with relevant information regarding their reservations and payments. When you create a reservation, you can decide if you want Mews to automatically send the default Confirmation email or not. You then have the option to add a customized message and resend the Confirmation email manually. This is useful in situations where you want to send a more personalized message to the guest, for example, VIPs.

Note: This is only available for properties with the Advanced Guest Journey package.

In this article you can learn about the following steps to add a custom message to a Confirmation email:

Step 1: Create a reservation

  1. In Mews Operations, click + Reservation to create a reservation.
  2. Click to select your Stay service.
  3. Under Dates*, click to select the dates for the reservation.
  4. Under Options, fill in the relevant fields.
  5. Under Availability, click to select the space you want to add to the reservation, then click Next.
  6. Under Details, fill in the following information:
    • Customer: Enter the guest’s name.
    • Origin: Click to select how the guest requested the reservation.
    • Confirmation: Click to select Do not send.
    • Notes: Enter any relevant notes for this reservation, for example, “Guest is bringing dog, Lulu, who only eats vegan biscuits”.
  7. Click Book now.

This creates the reservation, you can now add your custom message to the Confirmation email before you send it to the guest. 

 

Step 2: Add a custom message

  1. In the Reservation management screen, click the Mailing tab.
  2. Under Resend email, click to select Confirmation.
  3. Under Receiver, click to select:
    • Customer: To send it to the email address in the guest’s profile.
    • Custom: To send it to a different email address.
  4. Under Language, click to select the language you want to send the email in. If you do not select a language, Mews sends the email in your property's default language. When you customize your emails, you can add translations.
  5. Under Custom Message, enter your customized message for the guest.
  6. Click Send.

The guest then receives their Confirmation email with the customized message. To view the email, in Mews Operations, go to the main menu Menu arrow right  > Queues > Emails.
