In Mews Operations, you can create a reservation using any of the following methods:
- From the Timeline: Locate the desired date and service and click
.
- On your keyboard: Press alt and the letter n.
- From your Mews dashboard: Click on the
icon on the menu bar.
- Via the main menu: Click on the main menu
> Reservations > Create reservation.
Mews supports hourly or long-stay bookable services along with your stays. You can offer your guests hourly or monthly parking, co-working memberships, or meeting rooms bookable by the hour. You can choose whether the new reservation that you create is Confirmed, Optional, or Inquired. If the reservation is optional or inquired, you can set up a date on which the system can release it if it's not confirmed.
Note: When a travel agency creates a reservation with an email that matches a pre-existing profile with a different name and details, Mews:
- Creates a new customer profile.
- Adds the newly created customer profile to the reservation as the staying customer.
- Adds the existing profile as the booker to the reservation. This profile contains credit card details and payments for the reservation.

Step 1: Choose the service, the dates and space of the guest's stay
Once you use one of the methods to create a reservation:
- Mews displays the "New reservation" screen. For enterprises with properties at multiple locations, you can choose the location from the drop-down menu.
Note: The location drop-down is only enabled for users from properties with Mews Multi-Property or an Enterprise subscription, with
- access to more than one property and
- the Create and manage reservations permission.
- To create a reservation for a selected property:
- Choose the service for which you want to create a reservation. Note: The service selection is visible only for properties with more than one service set in Mews.
- Select the day or the days for which you want to make a reservation.
- Click Continue.
- When you select a city with multiple properties from the Location dropdown, you can view the availability for all the properties within your portfolio from that city. You can then create a reservation in any of them.
- Select the day or the days for which you want to make a reservation.
- In the Availability section, click on the space type you want to reserve.
- Select the service at the property you want to create a reservation.
Step 2: Add reservations to your cart
In this step, you can view your availability and add reservations to your cart.
You can also change the service and the dates, if necessary, using the following buttons:
In this case, in the pop-up window, enter the new dates and/ or select the new service from the drop-down and click on Apply changes.
In the open page,
- Under Options, enter the customer's name to find or create their profile in Mews Operations.
- You can also connect the reservation to a booker, travel agency, company, voucher, or segment.
Note:
- Selecting a travel agency, company, voucher, or segment can affect the rates that are available for booking the reservation.
- When creating a reservation in Mews Operations, Mews automatically applies the rate’s segment, if available, or the service’s default segment to your reservation. When creating a reservation, you can manually choose your preferred segment for each reservation. You can learn more about this here.
- The screen displays public vouchers only. On assigning a Company or Travel agency to the reservation, if there is a voucher attached to it, Mews automatically displays the rates assigned to the company or travel agency voucher also. You don't need to select the specific voucher.
- To locate the correct travel agent contract, in the Travel agency field, enter the unique IATA number of the company attached to the contract. Mews displays a list of travel agents based on your search. Select the correct travel agent and continue with the reservation process.
- If the customer wants to order additional products with their stay, such as breakfast, you can add the products. You can learn more about adding products when you make a new reservation here.
- Under Availability, select the type of space the customer wants to reserve. After you select the space type, you can view your availability per space category.
- Under the desired space category, you can filter by space to narrow your selection.
- The filter contains a drop-down menu:

The Space menu shows every space within your property and if they are vacant, reserved, or locked. You can type in space features such as sea view, kitchenette, accessible room, etc., and filter accordingly.
Note:
- You can select the spaces marked as vacant or reserved for a new reservation. This does not override existing reservations in that space.
- You need to create space features to be able to select them in the Space menu. You can learn more about how to create a space feature here.
- Once you select your desired space category and filters, select the number of spaces the customer wants to reserve and the number of adults/ children staying in each space.
- Select the rate you want to charge.
Note:
- Employees with the "Override rate price" permission can modify the reservation rate price and offer a discount when authorized.
- If a rate has an active restriction, you can only select it if your role includes the Override restrictions permission. If you do not have this permission, the system blocks the rate selection, and you cannot continue creating the reservation.
- The system sorts rates by rate group. Locate the rate group you want, and then select the rate from the drop-down menu.
- The system highlights the cheapest rate per space category.
- Click the
+button next to the rate to add the reservation to your cart.
- If the
+button is grey, it means there's a restriction preventing you from adding the reservation to your cart. - Click on the Restricted link next to the gray
+button to go directly to your restrictions. - Locate the restrictions that are blocking you and change them if necessary.
Note: Click View policies to view details about the payment and cancellation policies that apply to this reservation.
- If you are creating multiple reservations, repeat steps 1 - 7. After you add a reservation to your cart, you can change some of the details in the Options section before adding another reservation.
- After adding every reservation to your cart, click Next.
Step 3: Add the final details
In this step, you can add any final details and create the reservation(s).
- If you didn't connect the reservation to a customer profile in the previous step, enter the customer's name to find or create their profile in Mews Operations. You can also enter the booker's name if they are booking on the guest's behalf.
- Enter the Origin of the reservation.
- Enter all other reservation details.
- You can choose whether the reservation is Confirmed, Optional, or Inquired. If the reservation is optional or inquired, set up a date on which the system can release it if it's not confirmed. Depending on the Status that you enter here:
- Inquired: Non-deductible from your inventory
- Optional and Confirmed: Deductible from your inventory
- You can also choose whether you want to send the customer,
- a Confirmation email for a confirmed reservation or
- a Quotation email for an optional or inquired reservation. The guest can use the link in this email to log in into the guest portal and confirm or cancel the reservation.
Note:
- Reservations in Inquired state do not show on the dashboard and timeline, only in the reservation report.

- Check that the reservations are correct. Note: You can go back to the previous steps to make changes or update the number of reservations from the cart.
- Click Book now.
This creates the reservation(s) in the system. You can manage your reservations in the Reservations management screen and also view and access them from the Timeline.
