How to sync Mews Operations tasks with Flexkeeping

The Mews to Flexkeeping task sync keeps your operational tasks aligned across both systems automatically and in real time. When you create a task in Mews, it appears in the correct Flexkeeping user group queue in under 60 seconds, so your housekeeping and maintenance teams see their work the moment it is assigned. When the floor team completes the task in Flexkeeping, Mews updates automatically, so you never re-enter the same task twice.

You set up the sync in Flexkeeping, in the Mews Integration tab. The integration is off by default, so a manager or integration administrator enables it once for the property before the sync begins. After you enable it, Flexkeeping pulls in all open Mews tasks for your property, and every new task flows through automatically from then on.

Prerequisites

You need administrator access to your property's Flexkeeping account to enable and configure the integration. Mews recommends deciding in advance which Mews departments each of your teams works from, such as Housekeeping and Maintenance, so you can map them to the right Flexkeeping user groups during setup.

How to sync Mews Operations tasks with Flexkeeping

  1. In Flexkeeping, go to the main menu Menu arrow right  > Marketplace.
  2. In the Mews integration, click Manage.
  3. Under your Property name, click Set up.
  4. In the Tasks screen, click to enable the Sync Mews tasks slider switch.
  5. Under Department mapping, fill in the following fields:
    • Mews department
      1. Flexkeeping user groups: Click to select one or more Flexkeeping user groups which receive tasks from that specific Mews department. Use the slider switch to enable or disable the sync for each user group.
      2. Assignment type: Click to select if you want to assign it as a Task or a Repair.
      3. Sync active: Click the slider switch to enable the sync for this Flexkeeping user group.
    • Tasks with no department
      1. Flexkeeping user groups: Click to select one or more Flexkeeping user groups which receive tasks which have no Mews department assigned. Use the slider switch to enable or disable the sync for each user group.
      2. Assignment type: Click to select if you want to assign it as a Task or a Repair.
      3. Sync active: Click the slider switch to enable the sync for this Flexkeeping user group.
  6. Click Save changes.

Once you save, Flexkeeping pulls in all open Mews tasks for your property automatically, and new tasks sync from that point on. When you click on a specific task, you can view if you created in Mews or Flexkeeping originally.

Note: The integration is off by default. The sync starts only after you enable it and save your department mapping.
