You can manage reservations in Mews Operations through the Timeline. The Timeline provides a clear and organized overview of all reservations and guest information. Front desk staff and those responsible for managing guest bookings can:
-
monitor stays,
-
update tasks and guest information,
helping improve the efficiency of your operations.

Upgrading reservations on the Timeline
You can upgrade reservations to higher space categories, using the drag-and-drop action on the Timeline. After you drag-and-drop a reservation into a higher category, an icon appears on the reservation block in front of the customer's name, indicating an upgrade.
If you do not lock the reservation after you upgrade it, the system moves it back down to the originally booked space category:
-
For revenue optimization, or
-
when another user clicks the Optimize space allocation button.
To prevent this, Mews recommends you change the space category in the Reservations screen under the Properties tab.
Note: You cannot downgrade reservations to a lower category using drag-and-drop. This is to prevent accidental downgrades.
You need to manually downgrade a space category, in the Reservations management screen under the Properties tab.
Note: If you move one unlocked reservation block and then drop it on top of another, the system automatically tries to reassign the booking that was previously in that slot.
- If there is no other suitable room, Mews places that booking into an overbooking slot.
- Once Mews places a booking into the overbooking slot, you need to manually move it to a suitable room allocation. Read more about overbookings below.

Managing overbookings
When you create new bookings, Mews automatically allots them space on the Timeline. If you overbook a category, meaning if you create more bookings than the number of spaces available, the system:
-
Automatically creates overbooking slots, in which it places that reservation until you can resolve this.
-
Displays these slots in red, indicating that urgent action is necessary, and
-
Uses overbookings as temporary placeholders for bookings that still need assigning an available space.
To resolve overbookings, move the reservation block from the overbooking slot to a vacant space. This automatically removes that overbooking slot from the Timeline.
Locking or unlocking reservations
When you select a reservation on the Timeline, all booking information appears in the Smart detail window on the right. In this window, you can find a lock icon. You can click on it to lock or unlock the booking. This prevents any edits to the booking.
-
Locking the reservation means that you can no longer move the booking.
-
You primarily use the lock rooms feature to prevent employees from accidentally moving any reservations.
-
You may want to lock a booking for several reasons, for example, if a returning guest specifically requests their assigned space.
-
-
Mews automatically unlocks bookings only in the case where you edit arrival or departure dates. Therefore, it is important to lock the reservation again after editing these booking details, to prevent someone from moving it.
Note: If a guest or online travel agency modifies a reservation via the channel manager, the system unlocks the reservation to reflect that it is changed.
