Mews Events FAQ

Mews Events offers a comprehensive set of features designed to simplify event management. From creating quotes to managing space availability, Mews Events provides you with tools for handling services, tracking analytics, managing billing, and customizing settings and helps you efficiently coordinate every aspect of your event operations.

In this article, you can find answers to the following frequently asked questions:

Can my property sign quotes on behalf of the customer?

No, Mews Events does not allow proxy signing. Only the customer or prospect can sign the quote to meet legal requirements.

If the customer has not signed yet, you can:

  • Resend the signature link to the original email.
  • Change the signature email to yours and sign. This logs the signature under your email, not the customer’s.

After a customer signs, your property must still approve the quote.

However, if a signed quote needs editing, you can propose a new version and choose whether to request a customer signature again or sign it directly from the hotel side. Mews Events tracks all quote versions for transparency.

How do I modify a quote marked “Rejected by the Property”?

A “Rejected by the Property” status on a quote means the property chose not to proceed. To reopen the quote:

  1. In Mews Events, go to the main menu Menu arrow right  > Quotes.
  2. Click Rejected by the Property.
  3. Click more_24  > View details on the quote you want to modify.
  4. Under the Payment section, enter a new quote validity date.
  5. Click more_24 > Resubmit.
  6. Click Confirm.

This moves the quote back to the To Be Processed status, where you can modify any details.

How do I display room details on quotes and function sheets?

You add room details, such as period and layout, when creating or modifying a quote.  These details then appear automatically on the function sheet.

If you have quotes coming through the booking engine, you need to add the room details manually. For booking engine quotes:

  • Add layout details manually in the Services module.
  • Use formats like "40 in school rows" or "30 in banquet layout".

This process ensures that setups are clear to both staff and clients, reduces errors and ensures consistency across quotes, the booking engine and function sheets.

How can I make deposits and VAT visible on invoices?

Currently, you cannot make deposits and VAT visible on customer invoices in Mews Events. Mews is working on resolving this issue.

What are the cancellation terms and notice period for a Mews Events subscription?

Mews Events follows the same terms as Mews Operations. Subscriptions renew automatically every year and require 1 month’s notice to cancel.

If you want to cancel your subscription, contact your Customer Success Manager. The CSM then confirms the notice period, stops future invoices and coordinates with Mews Events to delete your account at the end of the term.

Can I transfer items from Mews Events to Mews Operations?

Yes, but only under the following conditions:

  • The quote must have an approved status.
  • The transfer must occur during the transfer window. This window is open from 7 days before the event until the end of the first event day.
  • You are transferring products. Services such as rooms and accommodation are not included.

If the deadline passes, you must manually enter charges in the Mews Operations billing screen.

How do I remove CC recipients from quote emails?

To remove CC recipients:

  1. In Mews Events, go to the main menu Menu arrow right  > Quotes.
  2. Click more_24  > View details on the quote you want to modify.
  3. In the Quote header section, under Additional recipients, click delete_24  Delete to delete any recipient.
