“Picking up” a reservation in availability blocks means assigning a space to a reservation within a block. A picked-up reservation removes the space from public availability even after Mews releases the block. Once you release a block, you cannot add additional reservations to it, as the system returns the released spaces back to public availability. You can change the assigned space and the space category of a reservation later.
Note: You can only pick up reservations from Confirmed availability blocks.

Picking up reservations in Mews Operations
- Go to the main menu
> Reservations > Availability block report. The availability block report shows the list of all availability blocks for the selected period.
- Click on the block in which you want to pick up reservations. This opens the block details with the following data:
- Status: The status of the block.
- Occupancy: Percentage of spaces picked within a block. Current block conversion becomes 100% when the system releases all the unused inventory, as all available spaces within the block are picked-up.
- Picked-up/total availability: View the picked-up reservations versus the total availability for each day.
- Available: Total number of available spaces within the block
- Rate: The rate that applies to the availability block
- The Settings section displays the space categories on the left side. Within each cell of the date columns, you can see the Picked-up / Blocked numbers where:
- Picked-up = number of spaces picked-up in the block, whereas
- Blocked = total number of spaces blocked.
- To pick up a reservation, click on Pick up.
- This opens the New reservation screen.
Note:
- Mews displays all the stay periods, except the blocked dates for the availability block, as greyed out. Only the blocked stay period is available when adding reservations to blocks.
- If you want to add reservations that intersect the block interval, you have to create a new reservation outside the block.
- Select any dates within the block interval. In the New reservation page, fill in the guest details. You have the option to attach a Travel agency too.
- You can select the spaces from the space category tabs on the bottom left. Note: You can select only those space categories that are available for the block. The Price shows the price for the entire block and not an individual reservation.
- You can also add Products from the Products drop-down menu.
- Click on the + corresponding to the space you want to assign to the reservation. Then, create the reservation.
Creating the reservation opens the reservation screen, showing all the reservation details in the block’s reservation group.
If your block’s Pickup distribution is
- All in one group: Mews adds all reservations you create in the block to the same reservation group.
- Individual groups: You can pick up reservations in multiple groups for up to 750 reservations per group.
- If you pick up a reservation from the block dashboard, Mews automatically assigns the reservation to its own independent group.
- To pick up a reservation within an existing group, you need to create a reservation from the group’s reservation management screen. You can learn more about creating a reservation within a group here.
You can click View to view all your picked-up reservations.
Note: When you have individual groups:
- You can view the Future, In house, Past, or Canceled group reservations, along with the respective number of reservations in each group, per date range. For example, if some of the reservations from the same group start in the future, you can view them in the “Future" column.
- You can add reservations to the group from the Reservations management screen of the block’s group.
Picking up reservations from the Mews Booking Engine
You can setup your block booking engines to either
- Take payments or
- Pick up reservations from the booking engine.
To take payments, update the payment options in your booking engine setting:
In Mews Operations, go to the main menu > Settings > Services > Bookable service > Booking engine > Payment card input.
To pick up reservations from the Mews Booking engine:
- Go to the block main page and click on the Booking engine link at the bottom right.
- Currently only properties with Enterprise subscriptions have access to booking engine links. Properties with Pro subscriptions can purchase booking engine links as add-ons.
- You can add multiple Booking engine links. The number depends on the number of Booking engines you have set up for your property.
- To open the Mews Booking Engine, click on the
and either
- click on
or
- click on Link to booking engine.
- click on
- Guests can view only those dates of the availability block that are currently available along with the name of the block in the booking engine.
- Click on the date interval within the blocked dates and click on Next to create a reservation.
- You can select the spaces from the space categories available for the block and click Show rates.
- In the Rates section, you can add products or other services, such as breakfast and parking, to the reservation.
- Click on Book now to view a summary of your booking.
- Click Continue and fill in the contact and payment details on the next page.
- To add another reservation to the same group, click + Add another item and repeat steps 5-7.
- Click on the check box to agree to the Terms & Conditions and press Confirm to create the reservation in the block.
To view all picked-up reservations, go to the availability block dashboard and click on View.
Note:
- When you have individual groups, picking up reservations from booking engine links always creates a new group in Mews Operations.
- You can view the origin of a reservation. For example, if a booking arrives from the booking engine, you can view the origin at the reservation level.
Managing bills for picked-up reservations
- You have the option to use a private rate for blocks when picking up rates in a block from the new reservation screen or the Mews Booking Engine. You don’t need to add a voucher to the block.
- Mews allocates a portion of the total block price to every reservation you pick up.
- You can close bills on the individual reservation level for reservations within a block or move them to a single bill from the group-billing module.
