Using Notes to manage guests in Mews Operations

The Notes section in the customer profile within Mews Operations is a communication and information-sharing tool, enabling staff members to collaborate when managing guests, to enhance guest experiences, and streamline operational processes. 

 
You can use the Notes section in the customer profile to:

  • Add multiple notes: You can enter dietary restrictions, beverage requests.
  • Categorize notes: You can specify the type of note to further highlight to key staff members, for example, Front office or Housekeeping.
  • Edit and delete notes: You can update or replace outdated communications with the latest information.
  • View note creation details, including date, time, and author: You can transfer information between staff about guests' requirements and know who to contact for more details. 

The Notes section in Mews Operations is essentially a historical record of interactions and events related to guests and hotel operations which the property can use for future reference.

 

To view the Notes section in Mews Operations:

  1. Click on any customer profile or enter the customer's name in the Mews Dashboard search bar.
  2. Click on the Internals tab. 

 
 

 

 
 

Note: This feature currently applies to newly created notes only. Your past notes in the Guest profile notes field remain visible.

Add notes

 

To add a new note in Mews Operations:

  1. Click on any customer profile or enter the customer's name in the Mews Dashboard search bar.
  2. Click on the Internals tab.
  3. In the Notes section on the right, click +.
  4. In the Note category field, to select a category click on the dropdown list.
  5. In the Description field, type the main text of your note.
  6. Click Save.

Mews displays your note in the Notes section with the note creation details, including date, time, and author.  

 

 

 
 

Repeat steps 3 - 6 to add more notes. 

 
 

Edit and delete notes  

You can use the Notes section to edit or delete notes. 

 

To edit a note in Mews Operations:

  1. Click on any customer profile or enter the customer's name in the Mews Dashboard search bar.
  2. Click on the Internals tab.
  3. Click the image.pngicon next to the note you want to edit.
  4. Select Edit.
  5. Click the Note category field to edit the category from the dropdown list.
  6. In the Description field, edit the main text of your note.
  7. Click Save.

Mews displays your edited note in the Notes section with the updated note creation details, including date, time, and author. 
 

 

 
 
 

To delete a note in Mews Operations:

  1. Click on any customer profile or enter the customer's name in the Mews Dashboard search bar.
  2. Click on the Internals tab.
  3. Click the image.pngicon next to the note you want to delete.
  4. Select Delete.
  5. Confirm you want to delete the note by selecting Delete. Note: Once deleted, you can not restore deleted notes.

On successful deletion, Mews displays a Note successfully deleted message.
