If a customer wants to pay with a payment card other than the one attached to their profile, or if they don't already have a card attached to their profile, you can manually add their payment card information in Mews Operations.

Adding a new payment card in Mews

To add a new payment card in Mews: 

  1. Open the customer's profile. Note: To easily find a customer's profile, search for their name. 
  2. Go to the Payments tab. 
  3. Click Methods.
  4. Click The Create method side window appears.
  5. Fill in the details as seen below. Note: This is the only place in Mews Operations where when you enter the card details does Mews tokenize the card. Entering the card details anywhere else doesn’t tokenize the card and results in violation of the PCI norms.   

  1. Click Submit.
 

Once you create a card, 

  1. Mews tokenizes the card, and you can see the card with the label Tokenized in Mews Operations.
  2. The system tokenizes the card through the PCI compliance form, and securely stores it for future use. You can view the token by hovering over the label.  

 

Payment card storage  

Card storage

  • Mews stores tokenized cards in an external tokenization vault.
  • Properties must have more than one server to be fully compliant, without exception. You can find the complete set of specifications on the PCI Council’s website.
  • Mews does not allow you to enter cardholder data into unsecured fields. The system  automatically deletes any data stored in this manner including card numbers, expiration dates, and CVC numbers.
  • You must securely store all cards and remain PCI compliant.

 

Virtual Credit Cards or VCCs  

Virtual Credit Cards or VCCs typically come to Mews through channel manager reservations.  

  • Virtual Credit Cards do not become active until the day of check-in.
  • Payments using virtual cards are not possible until after the activation date. Note: Charging the card before the activation date results in an error, even if you try it by entering different amounts.
  • Mews cannot preauthorize Virtual Credit Cards.
  • Each virtual card has a unique card number, expiration date and CVC, which you cannot reuse.
  • Once you set up a VCC for automatic payment you do not need to manually charge VCCs, Mews does it automatically for you. On the guest’s check-in date, Mews triggers automatic payment and charges the card.
    • When you assign a VCC to an automatically settled reservation, Mews always charges the full chargeable amount.
    • When automatic payment fails for reservations with assigned VCC, Mews attempts again:
      • at 6am (local time) on the guest’s arrival date.
      • at 6am (local time) on the day after guest’s arrival date.
  • Under Scheduled payments & preauthorizations in the Payments section of the customer management screen, Mews,
    • automatically upgrades VCC scheduled payments to Payment type.
    • displays VCC scheduled payments as 100 % charge and replaces the payment policy percentage.

Mews displays VCC scheduled payments differently depending on the information received from the channel manager. The following use cases apply:

 

  • Mews does not receive the chargeable amount and activation date: In this case Mews,
    • charges the amount according to the payment policy.

  • Mews does receive the chargeable amount and activation date: In this case Mews,
    • charges the amount according to the channel manager settings.
    • does not apply the payment policy's value and trigger.
    • displays Estimated time as the activation date of the virtual credit card.

  • Mews does receive the chargeable amount but does not receive the activation date: In this case Mews,
    • charges the amount according to the channel manager settings.
    • applies only the first payment policy trigger.
    • displays Estimated time in line with the payment policy.

  • Mews does not receive the chargeable amount but does receive the activation date: In this case Mews,
    • charges the amount according to the first payment policy.
    • applies the trigger from the channel manager settings.
    • displays Estimated time as the activation date of the virtual credit card.

Note:  

  • Since all Virtual Credit Cards have an expiration date, if you don’t charge the card within the allocated time following check-out, properties may lose access to funds.
  • Mews doesn’t send automatic failure emails for failed VCC payments.

You can charge the new card in Mews Operations, at the click of a button with Mews Payments, without ever needing to use a terminal. 

  1. In the Merchant / Online tab, enter all payment card details. 
  2. Click Create
