How to automatically add QR codes to invoices in Switzerland

It is a legal requirement for Swiss properties to include a QR code on every invoice. Your guests can scan this QR code to automatically fill in your IBAN, property information, and outstanding balance in their banking app.


To add QR codes to invoices, Swiss properties need to set up the QR code payment integration. This integration validates company and customer profiles to ensure they provide all the necessary information. You can close invoices only once you complete the following fields in their profiles:

  • Name
  • Address line 1
  • Address line 2
  • Country

Note: 

  • The integration adds a QR code to an invoice when there is an outstanding balance.
  • Customers and companies can still pay via other payment methods if they don't want to use the QR code.


In this article, you can learn how to include QR codes in invoices for Swiss properties:

 

Step 1: Create the QR code payment integration

  1. Go to the main menu Mews Operations menu icon  > Marketplace.
  2. In the Legal Environment section, under QR code payment integration click Explore.
  3. Click Connect integration.
  4. Complete all the relevant fields:
  • Name: Enter the name of your integration. Mews uses “QR code payment integration” by default.
  • Company name: You can optionally enter a customized name for your business, which appears on invoices next to the QR code. If you do not enter a company name, Mews uses the name from general settings on invoices. 
  • IBAN: Enter a Swiss IBAN or QR-IBAN number. Note: QR-IBAN includes numbers ranging from 30000 to 31999 in the 5th position, for example, CHXX 3000 0XXX XXXX XXXX X.
  • BVR customer identification number:  Fill in this field only if you use a QR-IBAN.
  • Format:  This is the default format for the QR code. Mews uses “Switzerland” by default.
  1. Complete the Address section:
    • Street: Enter the street address of your property’s registration. 
    • House number: Enter the house number. 
    • City: Enter the city.
    • Postal code: Enter your zip/postal code.
    • Country: Select the country where your property operates.

    Note: The company name and address in your QR code payment settings override the general settings and appear on invoices with the QR code. For integrations added before September 2024, the address defaults to the property address from general settings.

  2. Click Create. On successful creation of the integration, Mews redirects you to the My subscriptions tab.
  3. In your list of active integrations, locate the QR code payment integration and click Edit to go to the settings page. 
  4. Check the Enabled box.
  5. Click Save.
 

Step 2: Complete your property settings

To ensure the integration works correctly complete your property settings before using it. To do so:

    1. Go to the main menu Mews Operations menu icon > Settings > Property.
    2. Make sure to complete the following fields:
    • Address line 1
    • Address line 2
    • Country
    1. Click Save.

This automatically adds QR codes with the necessary information to invoices in Switzerland.
