Modify or delete a customer profile

In Mews, a customer profile refers to a collection of data and information that describes a particular guest or customer, including their personal details, identity documents, loyalty information, preferences and notes.

You can add, modify, or remove any of a customer's personal details to ensure a comprehensive overview of a customer's relationship with your property. You can update a customer profile at any stage in Mews Operations to maintain a centralized source of information.

Note:

  • Contact Mews support if you want to automatically clear customer profiles after a set amount of time of customer inactivity, in accordance with compliance with your local data protection regulations.
  • Check your country's legal requirements regarding the obligatory retention period of customer data.

How to modify a customer profile

  1. In Mews Operations,
    • go to the main menuMenu arrow right  > Profiles > Customer profiles, then click the name of the customer whose profile you want to modify, or
    • enter a customer’s name into the dashboard search bar, then click to go to their profile.
  2. Click the Profile tab to modify personal details, add a file, addresses, related guests or merge matching profiles. View a detailed explanation of the fields here.
  3. Click the Internals tab to can modify classification, preferred space features, dietary requirements or notes. View a detailed explanation of the fields here.
  4. Click Save.

This modifies a customer profile in Mews Operations.

 

How to delete a customer profile

You cannot completely delete a customer profile from Mews Operations although you can delete all their personal details, including their last name. You cannot delete a customer profile that has an an open bill:

  • If you have a single property, Mews keeps the data available and declines the deletion to allow your property to retrieve the guest and complete a business transaction.
  • If you have multiple properties, Mews shares customer profiles across all properties but billing information is only visible in each specific property. If a customer has an open bill in any of your properties, you cannot delete their profile.

To delete a customer profile:

  1. In Mews Operations,
    • go to the main menu Menu arrow right  > Profiles > Customer profiles, then click the name of the customer whose profile you want to delete, or
    • enter a customer’s name into the dashboard search bar, then click to go to their profile.
  2. In the Profile tab, clickimage.pngClear to clear all personal data. Note: This is permanent and you cannot undo it.
  3. Click Clear to confirm.

This deletes a customer profile in Mews Operations.
