How to set up auto-assign for housekeeping rooms and spaces in Flexkeeping

Auto-assign in Flexkeeping automatically distributes housekeeping rooms across your team in a fair, consistent, and configurable way. Housekeeping managers and supervisors use it each morning in the Work Schedule day view to assign rooms without manual sorting. You configure a set of rules once, then run the assignment with a single button. The system groups rooms by cleaning type, keeps each housekeeper's rooms geographically close, and spreads the workload according to your chosen distribution mode.


Note

  • If your property uses cleaning segments, Auto-assign follows your cleaning segment configuration strictly and ignores the standard priority order above.
  • If your property uses room racks, where more than one housekeeper is assigned to the same set of rooms, Auto-assign accounts for this automatically. If two housekeepers are assigned to one rack, the algorithm applies twice as many rooms or credits to that rack. You do not need to configure anything additional for this to work.

Step 1:  Set up Auto-assign settings

  1. In Flexkeeping, go to the main menu Main menu  > Housekeeping > Room allocation.
  2. Under Room list, click settings-24 .
  3. In the side-window, fill in the following details:
    • General settings: These settings apply to both Auto-assign and Auto-assign filtered rooms.
      • Distribution mode:
        • By cleaning type: The system groups rooms by cleaning type and distributes each type evenly across housekeepers. This also supports custom cleaning types defined in your cleaning schedule.
        • By credits: The system distributes rooms so that each housekeeper receives a roughly equal credit total.
      • Proximity grouping:
        • By sector: The system distributes each housekeeper's assigned rooms as close together as possible within the same sector.
        • None: The system distributes rooms without proximity grouping. Use this option when credit balance takes priority over room placement.
    • Auto-assign settings: These settings apply only to Auto-assign and not Auto-assign filtered rooms.
      • Empty rooms: Click the slider switch to include empty rooms in the distribution.
      • Eco rooms: Click the slider switch to include eco rooms in the distribution.
      • GDC rooms: Click the slider switch to include rooms where the guest has declined cleaning.
      • OOO/ OOS rooms: Click the slider switch to include out of order and out of service rooms in the distribution.
      • Do not disturb: Click the slider switch to include Do not disturb rooms in the distribution.
    • Click Save.

Step 2: Apply Auto-assign setup to rooms

  1. In Flexkeeping, go to the main menu Main menu  > Housekeeping > Room allocation.
  2. Under Room list, click:
    • Auto Assign: To assign every eligible room across the property.
    • Auto assign filtered rooms: To assign a specific subset of rooms only, such as a single floor or a view you have already filtered on screen. Note: You can filter out certain rooms by clicking the filter Filter-24 and selecting rooms.

This configures and applies auto-assign for housekeeping rooms or spaces in Flexkeeping.
