How to create a gift voucher?

 

1. Create a specific service for the gift voucher.

2. Create a paymaster profile for the vouchers.

 

Create a specific service for the gift voucher

 

1. Go to Menu > Settings > Services.

2. Click on the [+] button at the top right and select Additional service.

3. Enter the requested information:

   • Name (for example, "Gift Voucher")

   • Short name

   • Description

   • Price

   • VAT

   • Options: Select the applicable ones. Has overridable price must be ticked.

   • Accounting category. Mews recommends setting up a specific accounting category for Gift Vouchers to track your revenue.

4. Click Create.

5. Go to Products on the left-hand side.

6. Add two products to your newly created Service, for example, ‘’GV purchase’’ and ‘’GV redemption’’. Learn more about creating service products.

 

Create a paymaster profile for the vouchers.

1. Create a paymaster for the voucher.
2. Name the paymaster accordingly, for example, Gift Voucher 2021.

 

 

How to add a gift voucher to the customer's profile?

 

1. Add to the bill both of the gift voucher products with the same amount, but one in positive (GV purchase) and one in negative (GV redemption). Learn how to Add, move, or remove items from open bills.

Note: Always put the number of the gift voucher in the notes, as this is important for your tracking.

2. Take the payment. 
3. Move the payment and the positive product to a new bill within the profile.
4. Close the bill.
5. Move the negative product (GV redemption) to the gift voucher paymaster until a guest wants to redeem the voucher.
6. When the guest books a stay and redeems the voucher, move the GV redemption product to the guest's billing.
7. Close the stay nights against the GV redemption product.
8. If the guest consumed more products or the rate was more expensive than the voucher, close the remaining balance with a payment.

 

Note: Make sure that once you create a new reservation, you choose a rate that does not have an automatic settlement set up. Otherwise, the system charges the guest for their stay if they enter the credit card details via Mews Online Guest Services.
