How to sync products from Mews Operations to Mews Events

Important: This article is only for new Mews Events users. Properties with environments set up before May 2025 need to configure products from Mews Operations into Mews Events to ensure consistency and operational efficiency after May 2025 as explained here.

 

When you sync products from Mews Operations (PMS) to Mews Events, you make products from your property’s PMS configuration available for use in Mews Events (EMS). Your staff, managing event space offerings, needs to do this to ensure that correct products and rates appear in quotes.

 

Note:

  • You need to sync the products from Mews Operations before you start building event quotes in Mews Events. 

  • You can only sync products to Mews Events with an assigned accounting category in Mews Operations. 

  • If you add or remove products in Mews Operations (PMS) later, you need to perform the synchronization again to reflect those changes in Mews Events (EMS). Check the Delete tab in the Sync with PMS modal to verify product that are no longer present in Mews Operations. To keep consistency, delete them from your services in Mews Events.

 

Things to know before you start the synchronization:
  • Synchronization is only possible for products from additional services in Mews Operations.  
  • The product categories should match services in Mews Operations, for example, "Catering” or “Supplementary services”.   
  • Use descriptive names for your products in Mews Operations so you can recognize them easily when building quotes in Mews Events, for example, “Vegan snacks”.
    Note: Add all products you offer in events to a single “Mews Events” additional service in Mews Operations. This ensures that your setup keeps your billing consistent and simplifies reporting. 
  • Using the Sync with PMS button, you can sync products with the following services in Mews Events: 
    • Catering, including Food and Drinks 
    • Seminars, including Coffee breaks 
    • Supplementary services 
    • Activities 
  • To ensure correct tax configuration, always match each product with the appropriate VAT rate in the correct category. For example, in France, activities typically have a 20% VAT, while food services use a 10% VAT. You cannot assign a product with 20% VAT to a category intended for products with 10% VAT. This misalignment may cause compliance and reporting issues. 

 

In some cases, different product types may share the same VAT rate. For example, activities and supplementary services often use the same VAT rate, so placing an activity in the Supplementary services category is technically possible, even though it may not be the most accurate classification.

How to sync products from Mews Operations to Mews Events services 

After you finish setting up the products in Mews Operations (PMS), to synchronize products from Mews Operations to Mews Events services: 

  1. In Mews Events, go to the main menu icon  > Services
  2. Go to the relevant service, for example, Food, Drink, supplementary services, activities. 
  3. Click Sync with PMS. This opens the synchronization window. 
  4. Select the products from the PMS that you want to sync. Alternatively, click Select all. Note: Always match products with the correct VAT rates.

  5. Click Sync

This triggers synchronization, and products appear in the relevant service categories.
