Overview of Mews Reports and their uses

 

As Mews offers extensive reporting capabilities, it is important to understand the uses of the different report types. Here, you can find the complete list of Mews reports as well as a brief overview of the insights each report offers, who might be using it in your property, and examples of what they might be using it for. It is possible to schedule exports for these reports daily, weekly, monthly, or annually, depending on your needs. You can also select the individuals or teams who will receive the exports for visibility, readiness, or more extensive use of each report. Customer Statistics report

What is it?

The Customer statistics report is an extensive analysis of all guest profile data, allowing you to track and compare different groups of customers. 

Who uses it?

It is primarily used by Front Office Managers, Revenue Managers, Reservation Managers, and General Managers. 

Use cases:

  • Use age and nationality filters to understand guest demographics.
  • Understand the gender breakdown of guests.
  • Use the segment filter to view segmentation of guests.
  • Use the average person rate in conjunction with the nationality filter to identify trends.
  • Use the customer classification and nationality filter to understand the correlation between nationality and returning guests.
  • Use the space category and classification filter to detect any correlation.

Customer Profiles report

What is it?

The Customer Profiles report lists all customer profiles and information. 

Who uses it?

This report is used by Front Office Agents, Front Office Managers, Reservation Agents, and Reservation Managers. 

Use cases:

  • Birthdays in house.
  • Number of check-in or check out in a timeframe.
  • Number of created reservations in a timeframe.
  • Assigned spaces.
  • Number of guests in a space.
  • Required legal information are provided and missing information.
  • Average percentage of completed profiles.
  • Number of confirmed and optional reservations on a timeframe.

 

Time Spent report

What is it?

The Time Spent report provides an overview of how many guests stayed at the hotel on a specific date.

Who uses it?

This report is used by Front Office Managers and Revenue Managers.

Use cases:

  •  It is useful for statistical purposes related to city tax calculations, as it provides data on how many guests stayed at the hotel from each segment, with additional breakdowns based on age.

 

Reservation Overview report

What is it?

The Reservation overview report offers a snapshot of all bookings relevant on a specific day.

Who uses it?

Front Office Agents, Front Office Managers, and Housekeeping use this report to manage arrivals, departures, and stayovers.

Use cases:

  • Overview of arrivals, departures, and stayovers on a specific day.
  • Process check-ins and check-outs faster by finding reservations directly in the report.
  • Prepare in advance to have enough front office agents on shift to cover the needs.
  • Prepare in advance to give housekeeping visibility of where staff should be allocated.

Reservation report

What is it?

The Reservation report offers data and filtering options to analyze a property's reservation data. 

Who uses it?

It is used by Front Office Agents, Front Office Managers, Reservation Managers, Housekeeping, Housekeeping Managers, Revenue Managers, and General Managers.

Use cases:

  • Overview of the day by showing arrivals, departures and stayovers.
  • Overview of additional ordered products, and notes such as VIP arrivals, daily revenue, and ADR.
  • Overview of the reservation creations, changes, and cancellations.
  • Provide housekeeping with a substitute for the Mews app to give visibility of where staff should be allocated.
  • Overview of historical volumes to forecast future business and adjust rates to maximize revenue.
  • Identify trends busy periods and occupancy.

 

Checkout report

What is it?

The Checkout report provides an overview of bookings due for checkout. Available only for Pro and Enterprise subscriptions.

Who uses it?

It is used by Front Office Agents, Front Office Managers, Housekeeping, and Housekeeping Managers.

Use cases:

  • Overview of the bookings available for checkout.
  • Overview of the bookings due but unavailable for checkout due to unsettled bills.
  • Checkouts in bulk for available bookings.
  • Overview of the day’s departures including VIPs or guests with special requests.
  • Enable Housekeeping to identify the rooms that will need cleaning to help organizing their daily tasks.

 

Occupancy and Availability report

What is it?

The Occupancy and Availability report gives a detailed view of availability and information for each space category on a chosen date.

Who uses it?

Front Office Agents, Front Office Managers, Reservation Agents, Reservation Managers, and Revenue Managers.

Use cases:

  • Detailed overview of the occupancy percentage of each space category.
  • Detailed overview of the availability of each space category and the corresponding average nightly rate.

 

Guests in-House report

What is it?

The Guests in-House report displays all guest arrivals and stayovers for at least one night during a selected period.

Who uses it?

Front Office Agents, Front Office Managers, Housekeeping, Housekeeping Managers, Breakfast List, and General Managers use this report. 

Use cases:

  • Have a full list of guests in case of emergency.
  • Have an overview of guests per age category and other demographics to help identifying trends in stays over a specific time period.
  • Help Housekeeping in planning the allocation of staff.

 

Action Log report

What is it?

The Action Log tracks the actions performed by users at your property.

Who uses it?

 Used by Front Office Managers and Property Admins.

Use cases:

  • It monitors changes in prices, rates, reservations, service orders, space categories, and statuses.
  • Changes can be filtered by employee, date/time, type of change, and reason.

 

Space Status report

What is it?

The Space Status Report tracks the housekeeping status of all spaces.

Who uses it?

It is used by Front Office Agents, Housekeeping, and Housekeeping Managers. 

Use cases:

  • Overview of space status changes overnight/due to departure.
  • Customize overview by floor, space, etc.
  • Overview of the housekeeping staff allocation needs, though not as time sensitive as the Mews app.

 

Activity report

What is it?

The Activity Report offers a graphical display of weekly and hourly activities, helping to recognize operational hotspots. 

Who uses it?

Front Office Managers, Housekeeping Managers, Operations Managers, DOSMs, and General Managers

Use cases:

  • Allocate staff for reception and housekeeping during the most critical time by supervising and modifying shifts.
  • Staff breaks outside critical windows.
  • Reservation department shifts and marketing activities by tracking booking trends to maximize revenue.
  • Track activities per employee.

 

Product report

What is it?

The Product Report provides a chronological overview of all stay products that have been sold. 

Who uses it?

Used by Front Office Agents, Revenue Managers, and General Managers.

Use cases:

  • Overview of the products consumed in a time interval – applicable for bookable services only.
  • Overview of the total products consumed in each category compared to the number of guests.
  • Overview of the total products consumed in the past to forecast future product consumption.
  • Overview of pre-booked services to ensure staff and resources are appropriately allocated.

 

Accounting Ledger report

What is it?

The Accounting Ledger gives an overview of all guest profiles with unpaid or unsettled balances.

Who uses it?

It is primarily used by Finance Managers and Property Admins.

Use cases:

  • Overview of guest profiles requiring immediate action due to check-out.
  • Overview of the amounts that are owed by guests and customers.
  • Overview of the amounts owed to the guests and customers.

 

Accounting report

What is it?

The Accounting Report provides an overview of all revenue posted in Mews.

Who uses it?

It is used by Finance Managers and General Managers to track transactions, identify discrepancies, and assess the production for a given date.

Use cases:

  • Overview of the production of a given date, with every single posting and transaction.
  • Overview of all finance movements to identify any discrepancies with the Manager Report.
  • Overview of transactions within a more flexible timeframes outside standard product hours.
  • Overview of positive and negative deposits in different accounting categories based on consumption date.
  • Customizable report that is automatically adjusted based on your finance accounting configuration and finance accounting categories settings.

Payment report

What is it?

The Payment Report provides an overview of all payments during a specific time period.

Who uses it?

 It is used by Finance Managers to track payments, refunds, chargebacks, and other transactions. 

Use cases:

  • Overview of all payments (including refunds and chargebacks) created, canceled, or settled during a specific time period.
  • Overview of what payment methods are most used by your guests.
  • Overview of payments vs. transactions, which is useful for countries where it is mandatory to declare VAT at the time of payment.
  • Have payments split along associated accounting categories to help tracking trends, spotting discrepancies, and reconciliation with other reports.

 

Bills and Invoices report

What is it?

The Bills and Invoices report provides an overview of all issued invoices and closed bills. 

Who uses it?

Finance Managers use this report. 

Use cases:

  • Find closed bills after guests’ departure for reprinting or reviewing.
  • Find bills by number or chronological order.

The Fiscal Record report

What is it?

The Fiscal Record Report provides an overview of all fiscal records generated for closed bills.

Note: This report is only available if a fiscal registry integration is set up.

Who uses it? 

Finance Manager.

Use cases:

The use of this report is dependent on the legal requirements in the territory where the property operates, but offers the possibility to:
 

  • Have a summary of every fiscal record in details.
  • Generating snapshots that summarize the data collected by the fiscal registry integration, for different reasons and at different intervals, in jurisdictions where this is required.

The Posting Journal 

What is it?

The Posting Journal provides an overview of all products posted in a given time period.

Who uses it?

Used by Front Office Manager and General Manager.

Use cases:

  • Have the possibility to check if individual items are posted correctly.
  • Review rebates.

The Manager report 

What is it?

The Manager Report provides an overview of the property’s performance.

Who uses it?

It is used by the Front Office Manager, Revenue Manager, Finance Manager, and General Manager.

Use cases:

  • Overview of all historical and daily revenue.
  • Breakdown revenue by space, product and outlet-based revenues and verify that all revenues are posted correctly.
  • Cross-check revenue against occupancy in comparison to the budget allocated according to forecast for the purpose of adjusting revenue strategy.

The Payment Card report

What is it?

The Payment Card Report provides an overview of all payment cards and preauthorization created in a specific period.

Who uses it?

The Finance Manager.

Use cases:

  • Overview of the status of payments.
  • Overview of all live preauthorization so they can be deleted after the guests’ departure.
  • Overview for reconciliation of tokenization fees for credit cards with monthly invoices.

The Chargeback report 

What is it?

The Chargeback Report provides an overview of your chargebacks and chargeback reversals during a specific time period.

Who uses it?

The Revenue Manager and Financial Manager

Use cases:

  • Keeps track of chargeback claims by customers and can be filtered by time period to view the status and outcome.

The Mews Payments balance report 

What is it?

The Mews Payments Balance Report gives you an overview of your finances, commissions, platform fees, payouts, top-ups, commission adjustments in one place.

Who uses it?

The Revenue Manager, Financial Manager and General Manager.

Use cases:

  • Overview of the balance due to be paid to reconcile it with your bank statements.
  • Reconcile your commission fees with the Payment Report export and the platform invoices.

The City Ledger

What is it?

The City ledger in Mews Operations provides a comprehensive overview of your property’s unpaid invoices to better manage your cash flow.

Who uses it?

The Revenue Manager and Financial Manager

Use cases:

  • Use this report to identify overdue payments and manage outstanding receivables.
  • Send invoice reminders and process invoice payments.

The Deposit Ledger

What is it?

The Deposit ledger is a part of Mews Analytics. It gives you an overview of all your guests’ deposits and payments, received prior to the start of a guest’s reservation.

Who uses it?

The Revenue Manager and Financial Manager

Use cases:

  • Keep track of guests' deposits and manage their financial records during their stay. 
  • Reconcile guests’ deposits against any charges or potential damages.
  • Identify any discrepancies or errors in deposit amounts or dates.
  • Generate reports from up to 3 months of historical data, helping you analyze deposit trends and evaluate your enterprise’s cash flow. 

The Guest Ledger

What is it?

The Guest ledger is a part of Mews Analytics. You can use the Guest ledger to check the guests or companies occupying rooms at your property that are in-house, and not yet checked out.

Who uses it?

The Revenue Manager and Financial Manager

Use cases:

  • Check amounts of open prepayments and open invoices, per guest or company.
  • Gain an overview of the amount your guests spend during their stay, and on the products or services that they spend on.
  • Check your guest’s balance.
  • Detect guests with open accounts from past reservations.
