The check in journey in Mews Kiosk  

The check in journey in Mews Kiosk begins when a guest first clicks on the Mews Kiosk to start their check in and ends on their successful check in. Understanding this process can give you a better overview of the guest’s experience and see the steps they take for a successful check in.  

In this article you can learn about the following steps of the check in journey in Mews Kiosk:

Step 1: Welcome screen

When a guest first interacts with a kiosk, it displays the Welcome screen where they can: 

  1. Click on Check in to start the check in process.

Step 2: Select reservation

After clicking ‘Check in’, guests can find their reservation by:

  • Typing in their last name, or
  • Scanning the QR code from their digital wallet, Confirmation or Online check-in emails.

Note:  

  • Mews Kiosk additionally asks the guest for their confirmation number:
  • You can enable early check in to allow guests to check in early for a fee.  

Guests can now view the details of their booking including room category, purchased or included products and their check out date. They can then confirm their reservation and proceed to the next steps.

Step 3: Space upgrades

Guests can upgrade their space by selecting a higher category space in this section. When a guest upgrades their space, Mews Kiosk updates their bill and displays the new price. The original price is no longer visible on the guest’s bill. You can learn more about how to offer space upgrades here.

The guest can:

  • Click Upgrade to select an upgraded space > Confirm > Upgrade, or
  • Click No thanks to continue without upgrading.

Step 4: Space selection 

Guests can filter spaces to select one that best suits their preferences, for example, spaces with a garden view or a balcony. For the Mews Kiosk to offer space selection to guests, you need to:

  1. Configure a description and space features for each space.
  2. Enable the space selection option.
  3. Unlock the guest reservation.
  4. Ensure other spaces are available, inspected and have at least one space feature each.

The guest can then: 

  • Click one or more labels to select a preference, then click Select to select a space, or
  • Click No thanks to continue without selecting a space.

Step 5: Scan identity document

If your property sets up verification, Mews asks the guest to scan their passport, ID card or driver’s license. The guest can then:

  1. Click Scan ID to scan their document or click Skip. Note: Guests can only skip if your property has set this field to Optional.
  2. Scan their identity document.

If the scan is successful, the guest can move to Step 6, where the Mews Kiosk pre-fills their details. If the scan is unsuccessful, the guest can click Try again to scan again.

Step 6: Check in form

Guests need to fill in their check in form during kiosk check-in. Mews then uses this information to complete their customer profiles. The form is set to Mews’s default configurations for your location. You can customize which fields appear according to guest type, such as adult or child. According to your choices, the fields either appear or do not appear in the kiosk generated registration cards.

 

  1. To continue the check in, guests need to fill in the following details: 
    • Verification photo:  Click Take a selfie, then take a picture of themselves. Note: This field only appears if you configure it. 
    • Select your nationality: Click to select their nationality.
    • Enter your details: Fill in all mandatory fields marked with an asterisk.
    • Relation to reservation owner: Click to select their relation to the reservation owner, for example, friend, parent or other. Note: This field only appears when companions, not reservation owners, complete the check-in form.
    • Identity document: Fill in all mandatory fields marked with an asterisk.
    • Check the ‘I agree with House Rules’ box.
    • Check the ‘I agree with Property T&C and Mews T&C’ box.  
    • Signature: Sign the check in form.  
  1. Click Continue.  

Note:  

  • The number of companion cards the system generates is equivalent to the number of companions added to that reservation. 
  • The kiosk only asks companions to fill in individual check in forms if the legal environment requires it. If the guests share an address, click “Use address” to copy information from previous guest. 
  • Guests can remove other guests by clicking deleteicondarkmode.png Delete, this is only available in areas where the legal environment requires data from all guests.

Step 7: Add products

Guests can customize their stay by adding products during their check in. This screen is only available when you enable the ‘Before check-in' setting for this bookable service.  

The guest can:

  • Click + Add to add their selected product, or
  • Click Continue to continue without adding any products.

Step 8: Payment screen

Guests can pay for their stay during check in when you have connected a Mews Terminal or via QR code on their smartphone.

The guest can either:

  • Click Pay now to pay for all items on the bill, or
  • Click Split bill to split the bill between guests or payment cards, then
    1. Click + Create bill to create a new bill.
    2. Click to select the items they want to move, then click Move items.
    3. Click to select the new bill or click + Create bill to create another, then click Move.
    4. Click + Add business details to add company details to the bill, if necessary.
    5. Click to select the bill to pay and click Pay.

The guest can then follow the instructions on the Mews Terminal or scan the QR code with their smartphone to complete the payment on their own device.

 NoteIf the reservation is a group reservation, Mews charges the reservation owner for everything. Mews charges companions only for any items added during their own check ins. 

Step 9: Cut keys

When you have enabled a key cutter, guest can cut their keys directly in the kiosk. Here, guests can:

  1. Select the number of keys they want to cut.
  2. Click Continue.  
  3. Follow the instructions on the screen. Note: You can edit these instructions in your Kiosk configuration settings.

  1. Click Continue.  

 

Once guests successfully complete all the check in steps, they can: 

  1. Click Confirm to view room details and directions.
  2. Click Continue to view the thank you message.
  3. Click Finish to complete their check in.

Note: You can customize the message above in the ‘Thank you message’ field of your Kiosk configurations and room name and directions in your space configurations.
