Understanding the Online check-in email flow in Mews Operations

When guests check in online, they can fill and sign registration cards in the Guest Portal, prior to their arrival. You can send your guests a link to your Online check-in page through the Confirmation and Online check-in emails. You can manually send these emails or configure them, so Mews sends them automatically at the appropriate times, for example, on confirmation of reservation or 48 hours before check-in. Once a guest begins their online check-in, they can add their information, select products and pay for their reservation. 

Note:  

  • The links to the Online check-in page expire 24 hours after the reservations ends or four weeks after the guests receive the email, whichever is sooner.  
  • If the email link expires before the guest uses it, the system redirects them and provides next steps to follow.

Online check-in emails  

By default, Mews adds a button linking to the Guest Portal in the Confirmation and Online check-in emails using the {signInLink} placeholder. You can also add a link to the email instead of the online check-in button. Just replace the {signInLink} placeholder with {signInUrl} placeholder when you customize the email template
 

Confirmation  

Mews automatically sends the Confirmation email after the guest confirms their reservation. The guest can click on Add your info to access the Guest Portal and complete their check-in.

Online check-in

When you configure the Online check-in email, Mews sends it if a guest does not check in two days before their reservation begins. The guest can click on Check in online from the email to access the Guest Portal and complete their check-in. 

Note: If the guest has not checked in online by 09:00 am on the day of arrival, Mews sends the Online check-in reminder email.

Checking in with expired links 

The links to the guest portal in the Confirmation and Online check-in emails expire 24 hours after the reservations ends or four weeks after the email is sent, whichever is sooner.

For example

  • if a guest books a two-day reservation starting tomorrow, the link expires the day after the reservation ends, but 
  • if a guest books a two-day reservation starting in six months, the link expires four weeks after the email is sent.  

Note: When a guest begins the online check-in process through an OTA, once they enter their personal email address, any previous links sent through the OTA automatically expire. If they do not finish their online check-in, they need to use the new Sign in link Mews sends to their personal email address to complete it later.

When the guest uses an expired link to access online check-in for a reservation, Mews redirects them to the page below.

Mews then sends the guest the Sign in link email where they can access online check-in.

Note: If the check in window for the reservation has passed, the guest does not receive the Sign in email and must contact the property directly to manage their reservation.
