How to check out a reservation in Mews Operations

You need to check out a reservation at the end of a guest's stay to settle all charges, make the room available for your next guests, and maintain accurate records of guest stays and financial transactions. You can check out a reservation in Mews Operations from the Reservations management screen.

You can also use the Check-out report, to check out all reservations with no outstanding balance, at once. You can also check out when closing a bill if at least one reservation on the bill is in the To Check Out state.

To check out a reservation in Mews Operations:

  1. Open the reservation you need to check out. You can either:

    • In the search bar, type in the guest's name, room number, or confirmation number to open their reservation. Click the appropriate reservation.

    • Click Reservation overview > Departures to view your remaining departures. Click Check out on the reservation due for check out.

    • In the Timeline, click the reservation > Manage.

This opens the Status tab of the Reservations management screen.

    Note:

    • To settle your guest bills first, click Billing or open the Billing tab. Once you settle the reservation's charges, close the Billing screen and return to the Status tab of your Reservations management screen.

    • The system cannot close the items unallocated to a bill during check-in. You need to move the items to the appropriate bill before closing those items.

    • Mews is currently rolling out billing visibility features on the check-out dialog region by region.
  2. Click Check out. The check-out dialog opens and shows the status of the bills on the reservation.

  3. Review the bills in the dialog and complete the check-out. For details, see Review bills in the check-out dialog below.

This checks out your guest and ensures the room is available for a new reservation.

Note: For reservations with no outstanding balance or when you want to check out with an unbalanced bill, you can also check out directly from your reservation's Smart detail window on the Timeline.

Review bills in the check-out dialog

When you click Check out, the dialog shows the bills that belong to the reservations you check out. The dialog does not list bills on other reservations in the same booking or bills elsewhere on the guest profile. Open the Billing screen to review those bills.

What you see depends on the status of the bills.

When a bill is unbalanced

The dialog lists each unbalanced bill that blocks the check-out, with the amount still outstanding.

  1. Click the name of the bill. The Billing screen opens on that bill.

  2. Balance the bill.

  3. Return to the reservation and click Check out.

To check out without balancing the bill, add a Reason, select Check out with unbalanced bill, and click Check out.

When all bills are balanced

The dialog lists the balanced bills that Mews closes when you check out. For each bill, the dialog shows the bill owner, the email address of the bill owner, and whether the bill closes.

If a bill does not close, the dialog shows the reason. The most common reasons are:

  • An order item on the bill has a consumed data issue that you need to resolve first.

  • The bill is missing an address, which is required in the French legal environment.

If Email balanced bills is also turned on, the dialog shows the email address that Mews sends each closed bill to. Check the address before you check out, so the bill does not go to a wrong or missing address.

Set the email address for a bill

  1. Next to the bill owner, click Add email address if no email address is on file, or Use a different email to change the current address.

  2. Enter the email address.

  3. To keep the address on the guest profile, select Save email to guest profile. If you leave this unselected, Mews uses the address for this check-out only.

  4. Click Check out.

When there are no bills to review

If no unbalanced bills block the check-out and no balanced bills are ready to close, Mews checks out the reservation without opening the dialog.

Note: You cannot close a bill or take a payment from the check-out dialog. Use the Billing screen for both. Setting the email address for a bill is the only change you can make from the dialog.

Checking out when closing a bill

When you close a bill, if at least one reservation on the bill is in the To Check Out state and has no unbalanced bills blocking checkout, a Check out button appears. This lets you check out directly from the billing view without returning to the Reservations management screen.

To check out when closing a bill:

  1. From the customer profile, open the Billing tab.

  2. Close the bill. A Check out button appears if at least one reservation is in the To Check Out state with no unbalanced bills blocking checkout.

  3. Click Check out.

  4. Select the reservations you want to check out. You can select up to 10 reservations.

  5. Click Check out to confirm.

Note:

  • You can only select reservations in the To Check Out state with no unbalanced bills blocking checkout.

  • This works the same way as the Check-out report. If you enable the option to close and email balanced bills at checkout, Mews closes and emails any remaining open balanced bills automatically.

  • Mews does not automatically email the bill you closed before checking out.

You can learn more about the Check-out report here.
